Payroll

Paycheck Information

Access is available through the Employee Self Service site Smart Systems. Your username is your employee number and your password is 0883 and the last four digits of your SSN. You will be required to change your password.

You can also review and update your tax withholding information (W-4 elections), address, phone number and direct deposit.

Pay Dates

Employees are paid on the 15th and last day of each month. If either falls on a weekend or holiday, then payment is made on the first business day prior to the pay date.

For employees paid on an hourly basis, the hours worked the 1st through the 15th are paid on the last day of the current month. The hours worked the 16th through the last day of the month are paid on the 15th of the following month.

Retirement

There are two statutory pension plans, TRA and PERA. Both pension plans are governed by the State of Minnesota. These two plans are defined benefit plans.

Time Clock

Hourly clock in and clock outs cannot cross pay periods. All hourly time worked is entered into SMART each day, and approved by your supervisor at the end of the pay period. Payroll uploads hourly time from SMART within two days after the period ends. Example: hours worked July 1st through July 15th would be paid on July 31st.

Background Checks

The district uses and third party vendor, Trusted Employees, to conduct background checks. All employees are required to complete the background check through Trusted Employees as a condition of employment. The cost of the background check is the responsibility of the employee. An email request to complete the background check is sent to the candidate's personal email. The email will be sent from Trusted Employees.

The school district shall require that applicants for school district positions who receive an offer of employment and all individuals, except enrolled student volunteers, who are offered the opportunity to provide athletic coaching services or other extracurricular academic coaching services to the school district, regardless of whether any compensation is paid, submit to a criminal history background check. The offer of employment or the opportunity
to provide services shall be conditioned upon a determination by the school district that an individual’s criminal history does not preclude the individual from employment with, or provision of services to, the school district.
